01. Eligible exhibitors
(1) Manufacturers, importers, and exporters of broadcasting equipment, components, and related products. Companies that handle software related to broadcast equipment. If the exhibition applicant consigns exhibition work to its appointed advertisement agent and the like, a letter of proxy should be attached to the Application Form.
(2) Exhibition application by any agent, including any advertisement agent, can not be accepted.
02. Exhibits
All equipment, accessories, measuring units, components, and software used for broadcasting and program production.
03. Exhibition categories

- (3) Publication/Publicity
When an item to be exhibited falls into both categories, two options are possible: the exhibit may either be placed in the category of greatest importance to it, or the exhibitor may exhibit in both categories.
04. Booth standards, booth configuration and number of booths
(1) Booth standard dimensions:
1) 1 to 18 booths:
2.97m (width) x 2.97m (depth)
The height of booths set back 1m from the booth fundation panels set up by the Show Management Secretariat and/or corridors is 2.7m.
The height of the other part of booth(s) is 3m or less.
A booth (18 booths or less) may in same cases become an island (block) booth upon determination of the total booth allocation. In such cases dimension of a booth is 3m (width) x 3m (depth)

2) 20 to 100 booths:
3m (width) x 3m (depth) x 4.5m (height)
3) Special Remarks on Booth Height:
・Lighting equipment and audio equipment, including miniature speaker, etc., which will be minimally required when constructing, may be installed projecting a maximum of 300mm from the standard specifications of the booth. Please take safety measures.
・In case the size of the product exceeds the booth specifications
The height limitation of exhibit products and decorations will be stipulated as above explained. In case the height of an exhibited product will exceed the limitation, the necessary request such as product specifications should be submitted to the Show Management Secretariat when the application for exhibition is submitted, and the exhibitor should receive prior permission from the Organizing Committee of Inter BEE. In this case, the exhibited product should be displayed within the specified space limitation of the exhibition booth and cannot be displayed in a way that invades into the passageway space. Exhibited product that has received prior permission to exceed the height limitation must be exhibited in the original state of the product itself, and any additional decoration will be prohibited.
・Special booth; allocated in the final row of the Exhibition Hall (the Southern-end allocation of the Hall)
Exhibitors whose booth(s) is allocated in the final row of the Exhibition Hall (the southern end of the hall) are allowed to install a signboard as described below, considering that this will be a blind spot from the hall entrance.
・Signboard content:
The signboard content will be limited to the exhibitor's name (name of company or organization/association), the exhibitor's logo, a logo expressing the exhibitor's name and/or exhibitor's brand.
The following content is not permitted: product names, division/department names, advertising copy (except for copy that is part of the exhibitor's name or logo, which can be approved for inclusion on the signboard). Please produce signboards within the standard height limitation.

Please produce the signboard within the following dimensions:
8,000mm (width) x 500mm (depth) x 1,000mm (height)
The signboard should be installed within the specified space limitation of the booth(s) concerned
・Location and number of signboard to be installed
One signboard will be allowed per direction (i.e., north, east, west, or northeast), with a total of 3 signboards as the maximum.
・For exhibitors whose booths are allocated in the final row, the location limitation and maximum number of signboards will be determined by the Inter BEE 2006 Organizing Committee.
・Details of signboard installation plans will be described in the "Guide to Preparation."
4) Response to violations to rule on projections from booth
If the exhibited product, decoration items, packing materials, etc. project from the specified space limitation of the booth, such a situation will not only prevent smooth passage, but may also cause an accident. Therefore, the exhibitor will be required to exhibit the product within the specified space limitation of the booth(s) concerned. If the exhibitor acts contrary to this regulation, the exhibitor should pay the additional charge as follows. The same charge will be applied to the case of contravention of the stipulated height limitation.

Exhibitors are requested to choose one of the following numbers of booth(s).:

1) After the application deadline, the number of booths for each exhibitor will be adjusted according to the general layout.
2) Exhibitors ordering 90 booths or more may be asked to change their number of booths in line with space availability.
(4) Joint exhibitions
1) In cases when two or more exhibitors exhibit jointly, the exhibitors are requested to apply for the total number of booths chosen from above (Please see page 3, 4.(3) Number of booths that may be applied for) to the Show Management Secretariat.
2) In cases when two or more exhibitors exhibit jointly, the exhibitors should elect one "representative exhibitor," who will submit the exhibition application form. The Show Management Secretariat will send a Joint Participation Registration Form to the other joint exhibitors, who should fill it in and submit it to the Show Management Secretariat. In cases when joint exhibitors will pay their booth fees separately, each exhibitor must submit its own application form and must notify the Secretariat of the intention to exhibit jointly.
05. Restrictions regarding exhibit space transfer
Exhibitors are prohibited from sub-letting, selling, transferring, or exchanging their exhibition space, either in whole or in part, to any third party including other exhibitors.
06. Allocation of booth locations
(1) As a rule, booth locations will be determined by the drawing of lots, based on the Secretariat's consideration of type of exhibits and the number of applications received and it is accepted by the Organizing Committee (drawing of lots will be held on July 14, 2006).

(3) The Show Management Secretariat will have sole discretion to determine the booth locations for the publication/publicity exhibition.
(4) Open spaces left over after the allocation of spaces will be used for storage or the distribution of publications. However, the layout may undergo further changes as booths are canceled or added.
(5) Please note that the Show Management Secretariat may decide the positions of booth entrances and exits for booths in block format, to accord for the flow of visitors.
(6) The ceiling lighting plan will be full lighting (approximately 500 lux). However, at the request of exhibitors applying for 12 or more booth spaces, booth locations are planned to be allocated to areas with no lighting (approximately 50 lux). Please understand that, owing to the results of the lot drawing, exhibitors applying for 10 booth spaces or less may be partially located in areas with no lighting.
07. Exhibition fees
The exhibition fee per booth is as follows:

Items included in the participation fee
The above mentioned Exhibition Fee includes 1) basic booth preparation costs and expenses in case of 18 booths or less (including the costs and expenses needed for erection of partition(s) between adjoining booth(s); rear and/or side partition(s). However, please note that the exhibitor should bear the costs and expenses needed for side partition(s) erected on side(s) of aisle(s) in case of corner booth allocation), 2) electric power supply installation costs (a single-phase 100V or 200V/50Hz power supply, one master switch per the exhibitors), and 3) electric power usage fee, 4) the Guide Book/introduction of company on the Internet home page. Any other costs and expenses are not included.

(Note) More detailed information including

08. Display
(1) Exhibitors should observe the following schedule regarding the arrangement of background materials and decoration of booths. Exhibitors with over 14 booths may begin arrangements from 10:00 a.m., Saturday, November 11, and exhibitors with 12 booths or less may start from 9:00 a.m., Sunday, November 12. All deliveries/adjustments should be completed by 6:00 p.m., Tuesday, November 14. After the exhibition, exhibits should be taken away between 5:00 p.m. and 7:30 p.m. on Friday, November 17, and decorations should be removed between 7:30 p.m. and midnight of the same day.
(2) The Show Management Secretariat will erect the system panels (4mm width veneer board panel. Vinyl coating finishing on both surfaces, aluminum poles are inserted every meter distance) between adjoining booths; for booths with aisles on all four sides demarcations only will be provided
(3) The Fire Prevention Law, Hall Regulations and spcifications in the “Guide to Preparation” must be adhered to. Decoration of all or part of the ceiling requires permission from the local fire station. The exhibitor is requested to undergo the Makuhari Messe’s Inspection Test about one month in advance, and the Show Management Secretariat must submit each exhibitor's final drawing sheet and ceiling structure application form to the local fire station. The details will be explained in the “Guide to Preparation”. The Blackout curtains structure may be installed without any inspection approval only in the case that stipulated conditions have been fulfilled.
(4) Two-story structures are not allowed, and floors may not be raised by more than one meter.
(5) Hanging exhibits and display materials from the ceiling is prohibited.
(6) Please ensure that leftover materials and decorations are removed from the booths before you leave.
(7) Please note that exhibitors will have to pay for work done on any other day than those appointed above.
09. Power supply and capacity
(1) The Show Management Secretariat will install a single-phase 100V or 200V/50Hz power supply (one master swich) each the exhibitors. The maximum power is 1kW per one booth. If more power is needed, the exhibitor must pay an additional power supply fee of ¥6,825 (including 5% consumption tax) per 1kW.
(2) For a triple-phase 200V power supply, the additional power supply fee is ¥6,825 (including 5% consumption tax) per 1kVA.
(3) Please give consideration to the fact that wires will protrude out from the floor. The power application must to be submitted by the deadline.
10. Security of exhibits
The Show Management Secretariat will make every effort to ensure the security of the exhibits during the exhibition by posting guards and taking other measures. However, the Show Management Secretariat cannot be responsible for any loss or damage, caused from natural calamity, fire, theft and other inevitable accident.
Therefore, exhibitors are advised to insure their exhibits and take other precautions to protect them.
11. Prohibited items
(1) If loudspeaker-based sound is necessary, please inform the Show Management Secretariat in advance in writing for approval, and ensure that sound does not interfere with the events at other exhibitors.
(2) Light which may distract other exhibitors and activities which may create undue congestion in the aisles should be avoided.
(3) Pamphlets should not be distributed and polls should not be conducted out of your booth.
(4) Exhibits may not be sold during the exhibition period except for publications available at the publication/publicity exhibition. Please note the Show Management Secretariat will sell novelty goods at the show site.
(5) To exhibit second hand products for selling.
(6) The exhibitor is requested to exhibit in the exhibition booth(s) in a manner acceptable to the visitors to the Inter BEE 2006. It is fully prohibited either to exhibit products at other sites than the Inter BEE 2006 or to prepare the exhibition with a view to escorting visitors to another site. pagetop
12. Application for Japanese legal protection of an exhibit in the pre-application stage that includes an invention/new design of practical utility, or a trademark
In order to receive official approval regarding application for the following legal protection, the Show Sponsorship will follow the application procedures required by the Director General of the Patent Office in Japan.
Where the official approval is received, the exhibitor will have the right to receive a special application concerning related laws subject to the condition that the exhibitor will follow the necessary application procedures for the exhibit(s) in applying for a patent of a new design, item of practical utility, or trademark.

When official approval is confirmed by the Patent Office, the Show Management Secretariat will provide the details to the exhibitor concerned.
13. Handling of copyright royalties
Exhibitors playing music or replaying recorded audio or video material must pay royalties on the material used (except if the exhibitor owns the rights or has made separate arrangements for payment of royalties).
Royalties may be paid to the Japanese Society for Rights of Authors, Composers and Publishers (JASRAC), which handles royalties in Japan.

Exhibitors should obtain the permission of the production company when using videos.
14. Bringing in exhibits (including decoration materials) from overseas
When bringing in exhibits (including decoration materials) from overseas, the following methods are available. The Show Management Secretariat will submit the Request for Permission to receive the official permission as the Bonded Exhibits Site to the Yokohama Customs beforehand for the convenience of overseas exhibitors. If permission is granted, any foreign-made product (which means any foreign-made product either produced or manufactured in territories other than Japan, as well as import custom clearance procedures not completed yet) can be exhibited as it will have foreign-made-cargo status without the need for import customs clearance procedures.
(1) Bonded Exhibition
In the event of the exhibition site being authorized to function as the officially approved "Bonded Exhibition Site for Inter BEE 2006", if the necessary procedures for bonded article(s) have been duly completed in advance by the foreign exhibitor, the said exhibitor will be able to exhibit (or use) the article(s) without paying import tax (customs duty, consumption tax), and after the exhibition the articles will be able to return to the country of origin.
However, if the article(s) are treated for the purposes of sales, comsumption and distribution at the exhibition site, they will not be recognized as bonded article(s).
In this case, the necessary procedures mentioned below (4) should have been carried out beforehand, and the exhibits can only be delivered from the Japanese customs office, after issuance of official import approval.
(2) ATA Carnet (Customs Note for Temporary Import Permission of Articles)
Exhibits from these countries included among the ATA Treaty Participating Countries will be able to be brought into Japan under tax-free-import conditions using ATA Carnet stipulations.
In this case, however, when the exhibitor applies for the issuance of the ATA Carnet, the issuing (guaranteeing) authority will request the exhibitor to pay the necessary deposit and the exhibit(s) should be returned to the country concerned within the required period.
(3) Re-Export Tax Free (Customs Tariff Article 17)
Regarding exhibit(s) from foreign countries, the article(s) will be able to be imported under the tax-free-import conditions subject to the conditions that the re-export should be executed within one year. However, a definite security (such as bank guarantee) should be provided when the exhibitor carries out the import procedures.
(4) Usual Import Procedures
The imported article(s) will be exhibited after receipt of the official import permission based on the completion of normal import procedures (including the payment of import tax). In this case, since the imported article(s) will be designated as the domestic cargo, any restrictions will not be affected by taking-out the exhibit from the exhibition site and/or for its consumption.
(5) Hand Carry
Regarding the article(s) which the exhibitor will carry with him or her when entering Japan, the exhibitor will be requested to proceed the usual import procedures explained in the above (1) - (4), if the article(s) will exceed the individual tax free capacity limit.
15. Entry visa application
Please note that the Show Management Secretariat will not issue or prepare any entry visa application documents for exhibitors and visitors from overseas. pagetop
16. Taking photos and videos of recording on the Show Site
It is forbidden to take photos and videos of recording of other booths. As for the press, however, they can take photos and videos of recording of exhibitors permit. Please note that the Show Management Secretariat will take photos and videos of recording of each booth in order to record this exhibition and to attract visitors and exhibitors.
17. Cancellation due to irresistible forces, etc.
If the Exhibition cannot be held due to a natural disaster such as an earthqueke, fire, or another force beyond control, the exhibitor's exhibition fees will be refunded, deducting a compensating charge for costs and expenses already incurred. The Japan Electronics and Information Technology Industries Association as well as the Japan Electroncs Show Association assume no responsibility for costs and expenses and expenses incured by exhibitors.
